Privacy Policy
Last updated: October 2026
1. Overview
Pendict is committed to protecting your privacy. This policy explains what data we collect, how we use it, and your rights.
2. Data We Collect
2.1 Audio data
When you start a transcription session, audio is streamed from your browser to our server in real time. This audio is:
- Held in memory only and never written to disk by us in raw form;
- Forwarded in short chunks to our GPU transcription provider, Runpod, which processes it on our behalf solely to produce the text and does not receive it for its own purposes;
- Discarded after transcription.
The resulting text transcript is saved as a plain-text file on our server for the duration of your session and is deleted automatically after 7 days. You can download it from the interface during or right after the session.
2.2 IP address, cookies & usage analytics
To enforce the free demo limit (2 runs per day per user) we store your IP address and a random cookie identifier. This is strictly necessary for the service and does not need consent.
Analytics are opt-in. If you accept analytics cookies in the cookie banner we additionally log, in our own database:
- Page views: URL path, IP address, HTTP referrer, browser user-agent, campaign (UTM) parameters and anonymous visitor/session identifiers;
- Funnel events: checkout page visits, checkout initiations, demo session starts, and paid session starts, with your IP address.
If you reject analytics (or have not chosen yet), we only count page views anonymously: the page, the referring website and a coarse browser/device type, with no IP address and no identifiers. We also keep session statistics (duration and word count of completed sessions, not the text itself). None of this is sold, shared with advertisers, or used for advertising or profiling.
2.3 Support chat
If you use the chat in the corner of the site, we store your messages, the name you give (optional), the email you give (optional, used only to find your order), your IP address, browser and device type, language, time zone and the page you were on. A random token kept in your browser lets you see the conversation again; anyone with the conversation link can read it, so do not share it. Messages are checked automatically for spam (for example many links or repeated text); messages classed as spam are kept separately and deleted after 30 days. Other chat conversations are kept for 12 months and then deleted, or earlier on request. We do not use chat data for advertising.
2.4 Payment data
Payments are processed by Stripe. Pendict never sees or stores your card details. We store only the Stripe session ID, the email address you entered at checkout, and a one-time session token to verify your purchase and to help you if something goes wrong. Please review Stripe's Privacy Policy.
3. How We Use Your Data
- To deliver the transcription service;
- To enforce demo session limits and prevent abuse;
- To verify and fulfil paid session requests;
- To measure anonymous site traffic and conversion funnels for operational improvement.
4. Data Retention
Transcript text files are deleted automatically after 7 days. Page view logs and funnel event records are kept for operational analytics. Demo usage records, payment tokens and the related checkout email are kept to prevent abuse, handle refunds and meet accounting obligations. To have your data deleted or exported, contact us through the chat.
5. Cookies
We set only first-party cookies, all HttpOnly.
Strictly necessary (no consent needed):
pendict_consent(6 months) — remembers your cookie choice;vs_demo_id(1 year) — enforces the free demo limit.
Analytics (only if you accept; you can change your mind any time with “Cookie settings” in the footer, which also removes these cookies):
vs_vid(1 year) — anonymous visitor identifier;vs_sid(30 minutes) — anonymous analytics session identifier;vs_utm(30 minutes) — remembers the campaign that brought you here.
Your theme choice and chat conversation are kept in your browser's local storage, not in cookies. When you accept or reject, we log the choice, a timestamp and a one-way hash of your IP address as proof of consent. No advertising or third-party tracking cookies are used; Stripe may set its own cookies on the checkout page.
6. Third-Party Services
We use Stripe for payment processing. Stripe may set cookies on the checkout page. Please see Stripe's Privacy Policy.
We use Runpod as a processor to run the speech-to-text model on GPU servers (see 2.1). Please see Runpod's Privacy Policy.
7. Your Rights
Depending on your jurisdiction, you may have rights to access, correct, or delete your data. Contact us through the chat on our Help page to exercise these rights. If you are in the EU/EEA you may also lodge a complaint with your local data-protection authority.
8. Changes
We may update this policy. Material changes will be reflected in the "last updated" date above.
